Privacy Policy — MailCleaner for Gmail
Introduction
This Privacy Policy describes how MailCleaner for Gmail (“MailCleaner”) accesses, processes, and stores information when you use the application. MailCleaner for Gmail is a Windows desktop application designed to help users analyze their Gmail mailbox and review cleanup opportunities before moving selected messages to Gmail Trash.

Who provides MailCleaner
MailCleaner for Gmail is provided as a desktop product by MailCleaner for Gmail. This policy refers to the product and its developer as MailCleaner for Gmail.
Gmail access through Google OAuth
Gmail access is performed through Google OAuth. When you connect your Gmail account, Google authenticates you and asks you to grant MailCleaner the permissions required for mailbox analysis and cleanup features. MailCleaner requests only the permissions necessary for its functionality.
You can review and revoke MailCleaner access at any time through your Google Account permissions.
Information that may be accessed
Depending on the permissions you grant, MailCleaner may access:
- Basic Google account information needed for account identification, such as your email address and profile information.
- Gmail message information required to provide mailbox analysis and cleanup features. This may include message metadata and related content necessary to identify cleanup opportunities such as large emails, older emails, subscriptions, senders, and Smart Clean candidates.
MailCleaner does not request Gmail access beyond what is needed to operate these features.
How Gmail data is used
Gmail data is processed to provide mailbox analysis and cleanup features, including:
- Identifying messages that may no longer be useful.
- Identifying messages that consume significant Gmail storage.
- Locating older messages.
- Finding newsletters and subscription emails.
- Grouping messages by sender.
- Presenting results so you can review selected messages before any cleanup action.
When you explicitly confirm a cleanup action, selected messages are moved to Gmail Trash. MailCleaner does not permanently delete Gmail messages.
Local processing and storage
Analysis is performed locally on the user's computer where applicable. MailCleaner is a Windows desktop application, and mailbox analysis and review workflows run on your device as part of using the app.
Authentication tokens are stored securely on the user's Windows device so you can remain signed in while using the application. Tokens are used only to authenticate requests that you initiate through MailCleaner.
Data retention
MailCleaner retains information only as needed to operate the application on your device. This includes authentication tokens stored locally so the app can access Gmail on your behalf while you remain signed in, and any local analysis results needed to display cleanup opportunities during your session.
MailCleaner does not operate a backend service or cloud database for Gmail mailbox contents as part of this website or the described application behavior. If you sign out, uninstall the application, or revoke access through your Google Account, MailCleaner will no longer be able to access your Gmail data through the revoked authorization.
What MailCleaner does not do
- MailCleaner does not sell Gmail user data.
- MailCleaner does not use Gmail data for advertising.
- MailCleaner does not transfer Gmail data to advertising networks or data brokers.
- MailCleaner does not permanently delete Gmail messages.
Cleanup actions
You remain in control of cleanup. MailCleaner presents candidate messages for review. When the user explicitly confirms a cleanup action, selected messages are moved to Gmail Trash. Messages in Gmail Trash remain subject to Gmail’s own trash and recovery behavior.
Revoking access
You can revoke MailCleaner access through your Google Account permissions. After access is revoked, MailCleaner cannot use the previously granted authorization to access your Gmail account. You may also remove locally stored authentication information by signing out of the application or uninstalling it from your Windows device.
Google Account permission settings are available in your Google Account. Search for “Apps with access to your account” in your Google Account settings to manage or remove MailCleaner.
Security
MailCleaner uses Google OAuth for authentication and stores authentication tokens on the user's Windows device with the intent of limiting unauthorized access. Reasonable technical measures are used to protect locally stored authentication material.
No method of electronic storage or transmission can be guaranteed to be completely secure. This policy does not make claims of certification, independent audit, or absolute security that cannot be proven.
Google API Services User Data Policy
MailCleaner's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
In particular, Gmail data obtained through Google APIs is used only to provide and improve user-facing features of MailCleaner for Gmail, such as mailbox analysis and cleanup. That data is not sold, is not used for advertising, and is not transferred to advertising networks or data brokers.
Children's information
MailCleaner for Gmail is intended for users who can create and manage a Google Account and a Windows desktop environment. The application is not directed at children.
Changes to this Privacy Policy
This Privacy Policy may be updated from time to time to reflect changes in the application or legal requirements. The “Last updated” date at the top of this page will be revised when changes are published on this website.
